Privacy Policy

2. Data We Collect
When you register for a tournament we collect the following personal data:
• Full name • Email address • Phone number • Nationality / OCI status • Club affiliation (optional) • Match results and tournament draw placement
If you opt in, we may additionally process your image and video likeness (photos/videos taken at the event) and your email address for marketing communications.
3. Purpose and Legal Basis
We process your data for the following purposes:
• Tournament administration, draw generation, scheduling, and player communication — legal basis: Art. 6(1)(b) GDPR (performance of a contract / pre-contractual measures).
• Publication of your name, club, and match results in public starter lists and brackets — legal basis: Art. 6(1)(a) GDPR (consent).
• Photography and video recording at the event — legal basis: Art. 6(1)(a) GDPR (consent). Note: German "Recht am eigenen Bild" applies; consent is strictly voluntary.
• Marketing emails about future tournaments — legal basis: Art. 6(1)(a) GDPR (consent) and § 7 UWG.
4. Data Retention
We retain your registration data for as long as necessary to fulfil the purposes described above. Tournament records (names, results) are kept for archival purposes for up to 5 years. Data processed solely on the basis of consent is deleted promptly upon withdrawal of that consent.
5. Sharing of Data
Your data is not sold to third parties. We may share data with:
• Email service providers (e.g. Resend) solely to deliver transactional and marketing emails. • Hosting and database providers (Supabase / Vercel) for infrastructure purposes.
All processors are bound by data processing agreements and may not use your data for their own purposes.
6. Your Rights
Under the GDPR you have the following rights:
• Right of access (Art. 15) — you can request a copy of the data we hold about you. • Right to rectification (Art. 16) — you can ask us to correct inaccurate data. • Right to erasure (Art. 17) — you can ask us to delete your data under certain conditions. • Right to restriction of processing (Art. 18). • Right to data portability (Art. 20). • Right to object (Art. 21) — you can object to processing based on legitimate interests. • Right to withdraw consent — where processing is based on consent, you may withdraw it at any time with effect for the future. Withdrawal does not affect the lawfulness of processing before the withdrawal.

7. Right to Lodge a Complaint
You have the right to lodge a complaint with a supervisory authority. In Germany, the competent authority is the data protection commissioner of the state in which we are based. You may also contact the Federal Commissioner for Data Protection and Freedom of Information (BfDI).
8. Cookies
This website does not use tracking or advertising cookies. A theme preference (light/dark mode) is stored in your browser's localStorage solely to preserve your display preference across visits.
9. Changes to this Policy
We may update this Privacy Policy from time to time. The version accepted at the time of your registration is stored alongside your registration record. We will notify you of material changes via the email address you provided.
